Auriva Ltd is a bookkeeping, payroll, VAT, and financial analysis firm registered in Malta. Our registered address is 97 Triq il-Knisja, Tarxien, TXN 2315, Malta. We are the data controller for personal data collected through this website and in the course of providing our services. 2. What Data We Collect

We collect personal data in the following ways: (a) Enquiry form submissions — name, email address, telephone number, business name, and the content of your message; (b) Service delivery — financial records, payroll data, VAT records, and other business information necessary to perform the services you have engaged us to provide; (c) Website usage data — anonymised analytics data (browser type, pages visited, session duration) collected via cookies. We do not collect sensitive personal data (as defined under GDPR Article 9) unless this is strictly necessary for payroll processing, in which case we will obtain your explicit consent.

3. How We Use Your Data

We use your personal data to: respond to enquiry form submissions and provide you with a proposal or quotation; perform bookkeeping, payroll, VAT, and financial analysis services under a contract with you; comply with our legal obligations under Maltese and EU law, including tax, employment, and company law; improve the performance and content of our website; and communicate with you about changes to our services or relevant regulatory updates. We do not use your data for automated decision-making or profiling.

4. Legal Basis for Processing

We process your personal data on the following legal bases: Contract (Article 6(1)(b) GDPR) — processing is necessary to perform services you have requested; Legal obligation (Article 6(1)(c) GDPR) — we are required to retain certain financial and client records under Maltese law; Legitimate interests (Article 6(1)(f) GDPR) — for website analytics and business development purposes; Consent (Article 6(1)(a) GDPR) — where you have opted in to marketing communications or provided sensitive data for payroll purposes.

5. How Long We Keep Your Data

Enquiry and contact form data is retained for 24 months from the date of submission. Client service data (bookkeeping records, payroll records, VAT records) is retained for a minimum of 10 years in accordance with the Maltese VAT Act (Cap. 406) and the Companies Act (Cap. 386). Website analytics data is anonymised and retained for up to 26 months. When retention periods expire, data is securely deleted or anonymised.

6. Who We Share Your Data With

We do not sell your personal data. We may share data with: professional advisers (auditors, legal counsel) acting on your behalf or ours; regulatory authorities (Commissioner for Revenue, Malta Business Registry, Inland Revenue) where required by law; cloud service providers used to deliver our bookkeeping and payroll services (e.g. Xero, QuickBooks), all of whom are bound by data processing agreements; and email delivery services used to respond to your enquiries. Any third party receiving your data is required to maintain its confidentiality and security.

7. International Transfers

Where we use cloud service providers based outside the European Economic Area (EEA), we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the European Commission, or reliance on an adequacy decision. Our services to clients in Kenya and the UK involve data transfers consistent with applicable international data transfer frameworks.

8. Your Rights

Under GDPR, you have the following rights: the right to access the personal data we hold about you; the right to correct inaccurate or incomplete data; the right to request deletion of your data (subject to our legal retention obligations); the right to restrict or object to processing; the right to data portability; and the right to withdraw consent where processing is based on consent. To exercise any of these rights, contact us at info@aurivaltd.com. We will respond within 30 days. You also have the right to lodge a complaint with the Office of the Information and Data Protection Commissioner (IDPC) in Malta at idpc.org.mt.

9. Cookies
